Action List

The Action List page is accessed by selecting Action List from the Admin menu. It is accessible to the following types of users:

  • System Admin users
  • Admin users
  • End Users who have the Can Access Action List checkbox ticked

The minutes (resolutions) associated with the action's report item can be viewed by clicking the icon in the View Minutes column.

Actions can be sorted by meeting date, document name, item title, action status** or completed date. To sort in ascending or descending order simply click on the appropriate column heading.

The action list defaults to displaying only incomplete actions, however completed actions from a specific date can also be displayed by clicking the Show Completed button and entering the appropriate date in the Show completed from field. Note that the Completed (Overdue) column will show one of the following values: * Empty if the action is incomplete and not overdue * The number of days overdue if the action is incomplete and overdue * The completed date if the action has been completed by all assignees.

An action can be searched for by partial item name. Simply start typing your search criteria in the Search for an item box and the data will be filtered accordingly.

A PDF version of the filtered data can be generated by clicking the Export to PDF button. Please note that the first time you generate the PDF your browser will probably treat it as a "pop-up or redirect" and block it. Often the only indication that you will get that this has occurred is that the PDF will not be displayed. In this case you must "allow pop-ups" for the Doc Assembler web site (look for a little icon in the browser address bar if a message does not appear) and then click the Export to PDF button again in order to view the generated PDF.

A CSV file containing the filtered data, that will open in Excel, can be generated by clicking the Export to Excel button. Please note that the first time you generate the CSV file your browser may treat it as a "pop-up or redirect" and block it. Often the only indication that you will get that this has occurred is that the file will not be generated. In this case you must "allow pop-ups" for the Doc Assembler web site (look for a little icon in the browser address bar if a message does not appear) and then click the Export to Excel button again in order to generate the CSV file.

Actions can be further filtered by expanding the Filter Actions panel and applying any combination of the following filters: meeting date range, action status**, due date range, days overdue, meeting type, assignee, directorate, department or custom fields.

Individual filters can be cleared by clicking the arrow icon to the right of the filter label. All filters can be cleared by clicking the Clear Filters button.

Note that the Action Status field will only be displayed, and available for sorting and filtering if the option to use Action Statuses is turned on via System Config.
