Assignment Types

There are four different assignment types: * Owner * Content Creator * Co-Author[^1] * Reviewer

These assignments are granted to users via one of the following pages for the purposes described below: * Template Maintenance * Document Assembly * Assignment Details (via the Dashboard) * Item Details (via the Documents Overview page) * Action Processing


Template Maintenance * Template level assignments: * Owner: Users who have an Owner assignment are able to maintain a template. The user who creates the template is automatically assigned to the template as an Owner. Any other users that need access to maintain the template may be manually granted an Owner assignment as described in the "Adding an Assignment" section below. Owners automatically have access to all Item Content documents (in Google or Office 365) that are contained within the template. * Content Creator: Users who are assigned to a template as a Content Creator will be able to create new documents from the template on the Document Assembly page. * Section level assignments: * Content Creator: Users who are assigned to a section as a Content Creator will be able to create (report) items in this section, via the Dashboard, in any documents that are created from the template. * Co-Author/Reviewer: Reviewer or Co-Author assignments in a section will be automatically created in any (report) items that are created in the section in documents based on the template e.g. if a manager/director needs to review all (report) items created within a particular section then they should be assigned to that section as a Reviewer. Reviewer assignments can be given a numeric order which is used by the system when generating assignment notifications (see below for more details). * Item level assignments: * Co-Author/Reviewer: Reviewer or Co-Author assignments on an item will be replicated in that item when it is created in documents based on the template. It is rare to need to add Item level assignments in a template.


Document Assembly * Document level assignments: * Owner: Users who have an Owner assignment are able to maintain a document. The user who creates the document is automatically assigned to the document as an Owner. Any other users that need access to maintain the document may be manually granted an Owner assignment as described in the "Adding an Assignment" section below. Owners automatically have access to all Item Content documents (in Google or Office 365) that are contained within the document. * Section level assignments (these assignment are normally inherited from the template that the document is based upon): * Content Creator: Users who are assigned to a section as a Content Creator will be able to create (report) items in this section via the Dashboard. * Co-Author/Reviewer: Reviewer or Co-Author assignments in a section will be automatically created in any (report) items that are created in the section. e.g. if a manager/director needs to review all (report) items created within a particular section then they should be assigned to that section as a Reviewer. * Item level assignments: * Owner: The user who creates the item is automatically assigned to the item as an Owner. Assignments for which the logged in user is assigned as Owner appear in the "Report Items I've Initiated" area of the Dashboard. Only the owner of an item can mark the item as inactive via the Dashboard | Assignment Details page. In many cases the Owner will be the author of the item. * Co-Author: Co-Author assignments on an item are made in order to assign another user to contribute to writing the item (this can also be used to delegate entire responsibility for authoring the item to another user). Assignments for which the logged in user is assigned as Co-Author appear in the "Report Items for Co-Authoring" area of the Dashboard. * Reviewer: Reviewer assignments on an item are made in order to assign another user to review the item once the Owner and/or any Co-authors have finished writing the item. Assignments for which the logged in user is assigned as Reviewer appear in the "Report Items for Review" area of the Dashboard. Reviewer assignments can be given a numeric order which is used by the system when generating assignment notifications (see below for more details).


Assignment Details (via the Dashboard)

  • Owner: The user who creates the item is automatically assigned to the item as an Owner. Owner assignments cannot be added manually. Only the owner of an item can mark the item as inactive via the Dashboard | Assignment Details page. In many cases the Owner will be the author of the item.
  • Co-Author/Reviewer: A user who has an existing assignment to an item may add other Co-Author or Reviewer assignments to an item e.g. they may make a Co-Author assignment to request a user to contribute to authoring a particular item - or they may make a Reviewer assignment to request a user to review the item once it has been written. Reviewer assignments can be given a numeric order which is used by the system when generating assignment notifications (see below for more details).

Item Details (via the Documents Overview page)

  • Owner: The user who creates the item is automatically assigned to the item as an Owner. Owner assignments cannot be added manually. Only the owner of an item can mark the item as inactive via the Dashboard | Assignment Details page. In many cases the Owner will be the author of the item.
  • Co-Author/Reviewer: The document owner may add Co-Author or Reviewer assignments to an item e.g. they may make a Co-Author assignment to request a user to contribute to authoring a particular item - or they may make a Reviewer assignment to request a user to review the item once it has been written. Reviewer assignments can be given a numeric order which is used by the system when generating assignment notifications (see below for more details).

Action Processing

Assignments to actions do not have a type as such. They are simply an assignment to take the required action.


[^1] Note that the name use to describe collaborators can be customised on a per site basis. The default value is "Co-Author", however it is possible that it is different for your site.
