Admin High Level Process Flow

  1. Create meeting documents
    • Public
    • Confidential
  2. Officers' create reports
  3. Complete the parts of the agenda that you are responsible for e.g. Confirmation of Minutes, Petitions, Notices of Motion, Mayoral Minutes etc.
  4. Do a final check of reports via Docs Overview - use the Checked By Admin checkbox to keep track of what has been checked.
  5. Add confidential report "stubs" into the public agenda
  6. Make any non-required sections/items inactive
  7. Assemble agenda
  8. Publish agenda
  9. Process minutes
    • Pre-meeting preparation
    • Capture minutes during meeting
    • Post-meeting tidy up
  10. Assemble minutes
  11. Publish minutes
  12. Process actions
