Doc Assembler Version 4.09 was released overnight. It includes the following enhancements:
- Document owners can now mark another user’s assignment as complete on the Document Assembly and Documents Overview | Item Details pages. This enables a document administrator to mark an assignment as complete, e.g. if an officer has forgotten to do so and cannot be contacted, and allow the item to progress in the approval workflow.
- Owner assignments can now be added (and modified) via the Dashboard | Assignment Details and Documents Overview | Item Details pages (previously this could only be done by Document Owners on the Document Assembly page). This enables the owner of a report item to be changed more easily when required.
The following new options have been added to the Assignment Notifications panel on the Document Assembly and Template Maintenance pages.
- Send Reviewer Completed Notifications to Owners and Co-Authors: this enables two options for notifying authors (i.e. owners and co-authors) when reviews have been completed:
When All Reviews are Completed: notifications will only be sent when all reviewers have marked their assignments as complete. NB. All existing active, non-archived templates and documents have had this option turned on.
When Each Review is Completed: notifications will be sent as each reviewer marks their assignment as complete.
Send Co-Author Completed Notifications to Owners: owners of a report will be notified when a co-author marks their assignment as complete. NB. All existing active, non-archived templates and documents have had this option turned on.
The “Publish Individual Items” option now applies when publishing via FTP. A PDF of each individual item will be placed into a sub-folder named “DocumentName – Items”. The screen shot below shows the result of publishing an agenda along with its attachments and individual items via FTP.
A button has been added to the Minutes Processing page to allow you to update the list of voting users (councillors\/elected members) for a meeting i.e. if you have already changed a document into Minutes mode and then subsequently modified the list of voting users because of council elections.
Fixed a bug that caused an error in certain scenarios when uploading a modified copy of an assembled Word document.
In order to enhance the security of the application the type of files that can be uploaded as attachments have been restricted to files with one of the following extensions:
.docx, .doc, .xlsx, .xls, .ppt, .pptx, .pdf, .ibooks, .mp3, .mp4, .jpg, .jpeg, .bmp, .tiff, .png, .txt
If you need to upload an attachment with a file format that is not in this list then please let us know and we can add it to the list of allowed file extensions.
